Booking Conditions
Walk Your Way Limited
These booking conditions apply to all new bookings made on or after 1st July 2026. If you booked your trip before July 2026 then please contact us for a copy of the booking conditions that apply to your booking.
We want your walking or running adventure to be fun and enjoyable. In building your proposed itinerary we have tried to be as flexible as possible, accounting for your preferences and creating a trip that meets your requirements. We do, however, have to impose a set of booking conditions which outline our mutual responsibilities and clarify your consumer rights. We have kept these booking conditions as straightforward and friendly as possible and we request that all customers read them before booking.
1. The Booking Process
When you request a trip from us, we will provide you with a proposed itinerary and an indicative price. The price you are quoted is based on accommodation and transport availability at the time of your request. We may iterate through a number of proposed itineraries until we have built a trip that you are happy with.
If you choose to proceed with your booking, we require a deposit of at least 25% of the trip cost or £250 per person (whichever is greater). The deposit may be higher if you have requested accommodation or other services which are supplied to us on a non-refundable basis. Your proposed itinerary will specify the deposit required for your trip. Once you have paid your deposit, you are deemed to have accepted these booking conditions.
At the point you inform us that you intend to make a booking, we will ask you to nominate a lead passenger. This person is our main point of contact and assumes responsibility for the group. Importantly, the lead passenger assumes responsibility for payment of the deposit and final balance on behalf of all members of the group, even where we have split the deposit/final balance payment into separate invoices to enable members of the group to pay separately. For the avoidance of doubt, where members of a group make individual payments, they are making payments towards a single booking, forming a single contract between the group and Walk Your Way Limited. The booking cannot be confirmed until the full deposit has been paid.
Once your deposit has been paid, we will proceed to make the accommodation, transport and baggage transfer arrangements that are required for your chosen itinerary. Occasionally, accommodation or transport availability and cost may have changed between our initial quote and the time you place your booking. If that is the case then we will communicate with you immediately and give you the option to proceed at the amended price/trip specification or to receive a full refund of the deposit paid.
Once we have made the required arrangements for your trip, we will send you a booking confirmation—at this stage your booking is considered firm and your deposit non-refundable. The remaining balance is due 8 weeks (56 days) before your trip start date. Your trip start date is outlined in your itinerary and booking confirmation. If you book within this 8 week period, the full amount will be due at the time of booking.
At the point at which your booking is confirmed, you have entered into a legally binding contract with Walk Your Way Limited, a company registered in England and Wales. Our registered office is 82a James Carter Road, Mildenhall, Bury St Edmunds, IP28 7DE and our company registration number is 16810136. Your contract is directly with Walk Your Way Limited—we do not use agents to sell any of our trips. As we are registered in England and Wales, any dispute between you and Walk Your Way Limited will be decided in English Courts, irrespective of where in the world you are based.
2. Payment
All trips are quoted in Pound Sterling (GBP). Unless otherwise stated on your invoice, all payments are made to our trust account, managed independently by Serenity Travel Trusts. The trust account requires that the full payment for your trip (as stated on your invoice) settle directly into that account. We have no access to this money until your trip is completed, offering you complete protection. Payment must be made by direct bank transfer into our trust account (details provided on your invoice). You are welcome to use third party services (such as Wise) to make that transfer by credit or debit card payment, so long as the full invoice amount is credited to our account in GBP (£).In the event of our insolvency, this trust account would be used to reimburse you or to enable your trip to continue.
Most of the trips that we organise are classed as a package under the Package Travel and Linked Travel Arrangements Regulations (2018), with Walk Your Way Limited acting as an ‘organiser’. If this is not the case then it will be made clear in your invoice, before you pay your deposit. Under the Package Travel and Linked Travel Arrangements Regulations (2018), we assume responsibility for the delivery of your package.
We will remind you prior to the due date of your final balance. No compensation will be payable if we are forced to cancel your booking due to non-payment of your final balance.
3. If You Need to Cancel Your Trip
We understand that plans can change and cancelling a trip that you have been looking forward to is always disappointing. Because we design bespoke, tailor-made itineraries, we cannot re-advertise or re-sell your specific itinerary once it is booked. We are also incredibly proud to work with a number of independent businesses and small suppliers. To maintain a long-term relationship with those suppliers we commit funds to them early on.
If you need to cancel your holiday, please let us know in writing as soon as possible by email to walk@walk-your-way.co.uk. Because we incur non-recoverable costs from the moment your booking is confirmed, the following cancellation charges will apply, based on when we receive your email:

56 days or more before your trip start date: Your deposit will be retained to cover the administrative work and the payments we have already made to suppliers.

Between 55 and 29 days (inclusive) before your trip start date: 50% of the total trip cost, or our non-recoverable supplier costs (whichever is greater), will be retained.

28 days or fewer before your trip start date: 100% of the total trip cost will be retained, as all accommodations and services are fully committed by this stage.
For the avoidance of doubt, your trip start date is the day on which we provide the first service associated with your trip. We cannot offer refunds for non-arrival or if you choose to shorten your trip after it has started. Because these terms are strictly applied, we strongly recommend taking out a comprehensive travel insurance policy at the time of booking. If you do have to cancel for an unforeseen reason (like illness or injury), we will happily provide all the necessary paperwork to help you recover these costs from your insurer.
If one member of your party cancels, the remaining group members can continue with your trip. However, please note that reducing your group size may not reduce the overall price. Many of our transport, baggage transfer, and accommodation costs are fixed per group rather than per person, so a small supplement may apply to the remaining members of the group. If the entire group decides not to proceed, the standard cancellation terms above will apply to everyone.
4. If You Want to Change Your Booking
If you need to make a change to your confirmed booking, please contact us. If you wish to extend your trip or add additional group members then we will provide you with a quote, which you can choose to accept. If you are adding members or extending your trip then no amendment fees are payable.
If you wish to amend your booked accommodation, transport or baggage transfer then we will do our best to accommodate your request, although this may not always be possible, especially on popular trails or at short notice. We reserve the right to charge an amendment fee of £50 per person, in addition to any additional costs incurred from our suppliers.
Occasionally customers ask us to postpone or change the dates of their trip. This involves as much work for our small team as handling a new booking and often incurs costs from our suppliers. We are sorry but if you wish to change the dates of a pre-booked trip this will be treated as a cancellation and re-booking (our usual cancellation fees will apply). Much of the accommodation that we use is in high demand and before you opt to cancel your existing trip, please ask us to check availability and re-quote your trip for your new proposed dates.
You may be able to transfer your booking to another person, who you introduce to us, subject to that person being willing and able to accept these booking conditions. In this scenario, you assume joint responsibility with them for payment of the deposit and final balance, along with any amendment fees charged by our suppliers. We will also charge an admin fee of £50 per person to make these changes.

5. If We Have to Amend Your Trip
We make very careful arrangements, however, we may be let down by our suppliers or there may be unavoidable changes to your itinerary (sometimes at short notice) due to unforeseen circumstances. On the very rare occasion that this occurs, we will seek a solution that minimises the impact on your proposed itinerary, for example booking you into alternative accommodation. In these cases no additional charges will be applied and we will always try to ensure that the alternative is of the same or a better standard than that originally booked. We do ask for a degree of flexibility and understanding on your part, especially in locations where there is limited accommodation. A minor change of this nature is not grounds for cancellation of your booking. Unless you have expressly requested specific accommodation (e.g., The Tan Hill Inn) and this has been noted in your agreed itinerary, no compensation or right to cancellation is applicable in this situation.
Although very unlikely, there may be instances where we are no longer able to deliver the trip that you have booked. This would principally be a result of the failure or withdrawal of a supplier that is key to your itinerary, where no reasonable alternative exists. In those cases, you would receive a full refund of all monies paid, but no additional compensation would be payable.
Occasionally your trip may be disrupted by factors beyond our control (force majeure), including war, threat of war, civil unrest, epidemic, fire, terrorist activity, nuclear disaster, natural disaster/weather related events, strike action/industrial disputes or technical and mechanical breakdown by transport or accommodation providers. These factors may mean that it is not safe or possible for you to complete your planned route. Under these circumstances we will always work with you to ensure that you can continue with as much of your planned itinerary as possible. If force majeure means that your planned trip cannot proceed, we will attempt to recover as many costs as possible from suppliers and, where successful, we will refund these. Where we are unable to recover costs, you may be able to claim these from your travel insurance. We do not accept liability and compensation is not payable if your trip is disrupted or cancelled due to force majeure.
6. Your Responsibilities
To ensure a smooth trip, we ask that you provide us with accurate and complete information at the time of booking. We also strongly suggest that you have adequate travel insurance in place at the time of booking your trip. As a minimum this should provide coverage for cancellation or curtailment of your trip and a level of protection for you and your belongings whilst on your trip.
As soon as we issue a booking confirmation, you should check it carefully to ensure that all details are correct and notify us immediately if anything is incorrect. Changes or amendments that are not pointed out to us immediately will be considered a change to your booking and suppliers may impose a charge for amendments.
All the trips that we create take place within the UK. If you are travelling to the UK to undertake your trip then we are always happy to provide advice and suggestions to help you get the most out of your time in the UK. That advice may include details of public transport, events or attractions that you may wish to visit. Unless these expressly form part of your itinerary, we are unable to accept any responsibility or liability for the proper delivery of these services. We are sorry but we are not able to provide advice regarding passports, visas or UK entry requirements and these remain your responsibility. We cannot accept any responsibility if you are unable to undertake your trip due to factors related to immigration requirements.
We also ask you to recognise that you are booking a self-guided trip which assumes a level of self-responsibility. Walking and running can be hazardous activities and by booking a trip with us it is assumed that you will take all sensible precautions to enable you to complete your pre-booked itinerary. Specifically, we ask that you ensure that you:

Assess the physical demands of a trail walking or running holiday to ensure that they match your fitness level.

Ensure that you have sufficient navigation skills for your chosen route and that you have the required equipment to keep yourself and your group safe on the trail.

Familiarise yourself with your chosen itinerary, noting the daily distances involved and any time or pace constraints that you need to adhere to—for example to be able to arrive at your daily end-point in time for required transport connections.

Become aware of any conditions associated with your booking, including accommodation check-in and check-out times, or the need to pre-notify our suppliers (e.g. pre-arranged taxis) of your intended arrival times.

Recognise that suppliers (such as accommodation providers and baggage transport providers) may impose additional terms and conditions which, once notified to you, you are deemed to have accepted. This may include the need to leave a credit card deposit at check-in to your accommodation to cover any incidental charges.

Monitor local weather forecasts and conditions and recognise when conditions make it unsafe to proceed on the trail, identifying a lower level or inland route where available.

Have access to sufficient funds to enable you to use public transport or taxis to reach your daily accommodation if you choose to skip all or part of a stage of walking that we have arranged for you, or if you miss or fail to show up for transfers that we have arranged for you. Additionally, some itineraries may require you to use local buses, ferries or other forms of transport which we are unable to pre-book or pre-pay (these will be outlined in your itinerary, confirmation or trip documentation). You should ensure that you have adequate funds (sometimes only cash payments may be accepted) to make these payments when required.
Crucially, by booking a self-guided walking or running trip you are assumed to recognise that these activities carry an inherent element of risk and that you are solely responsible for your safety and wellbeing whilst undertaking the activity element of your trip. For absolute clarity, we are only liable for elements of the trip that we have arranged for you (e.g. accommodation, baggage transfer and transport). You are booking a self-guided package and we take no responsibility whatsoever for your safety or wellbeing whilst you are walking/running or taking part in any other activities not organised by us during your trip.
Whilst we take care to provide up to date and reliable information and advice, we take no responsibility for you whilst you are on the trail. We may provide advice and suggestions, but it is your responsibility to verify that these are accurate and safe at the time of your trip, adhering to local restrictions where necessary. Our liability is strictly limited to the proper performance of any of the services that we have arranged for you. You also agree to pay any charges passed onto us by our suppliers for damage caused by you or your party.
7. If You Are Unhappy With Any Element Of Your Trip
If you have any general feedback on your experience on the trail then please let us know by email (walk@walk-your-way.co.uk). We consider all comments carefully and we are always grateful when our clients take the time to provide feedback.
If you are unhappy with any booked element of your trip, or have a complaint about your accommodation or any of the services provided on the trail then please initially raise this directly with the supplier (e.g. accommodation operator) at the time. Many problems are minor operational issues and can be solved immediately on the spot. If the provider cannot address your issue then please contact us immediately (or at the first opportunity when it is practical to do so) using the contact details that we supply in your trip information pack. We take our responsibility very seriously and will always try to resolve any issues that are brought to our attention. However, we can accept no liability or responsibility if you subsequently raise issues that neither the supplier nor Walk Your Way had the opportunity to rectify at the time.
Sometimes you may ask us to provide information to suppliers, e.g. in relation to dietary requirements. We always pass this information on at the time of booking and we ask suppliers to facilitate these requests wherever possible, though we can make no guarantees.
8. Your Data
Any personal information we collect from you during your enquiry or booking will be used solely for the lawful purposes of understanding your requirements, preparing your itinerary, administering your booking, and communicating with you in relation to your trip.
In order to provide the booked services, we may need to share necessary details (e.g., your name, contact details, arrival times or dietary requirements) with our third-party suppliers, such as accommodation providers and transport operators.
We will only retain your personal data for as long as is necessary to complete your trip and to comply with our own legal and administrative obligations under the PTR 2018. All data is handled in accordance with UK data protection law. We are registered with the Information Commissioner's Office (Registration number: ZC033667).
